Executive Assistant to Chief Technology Officer and Head of Domains (Maternity Cover)

Location: Harwell, Oxfordshire

Responsible to: CTO Head of Domains

Working Hours: 37.5 hours per week

Contract: Permanent, 3 month probation and 1 month notice

Holiday: 28 days per annum, plus statutory holidays.

The Role

The Executive Assistant will support the Chief Technology Officer (CTO) and Head of Domains in coordinating activities across the departments, ensuring that an effective and smooth operation is in process.

This is a fast paced and challenging role that will present various opportunities for the employee to demonstrate and enhance their interpersonal and organisational skills through a variety of duties ranging from extensive diary management to coordinating work flows across the departments.

The Executive Assistant will be the central point of contact for all CTO and Head of Domain activities, coordinating meetings (internal and external), liaising and building relationships with clients, booking travel and processing expenses. It is expected that the employee will put forward creative input when asked to assist on new projects or business activity as well as providing general administrative support.

We are looking for a proactive and bright team player who has excellent organisational abilities as well as first class written and communication skills. The ideal candidate will combine fun, passion and hard work as well as demonstrate the ability to perform under pressure and provide innovative solutions for various issues which may arise.

The employee will play a pivotal role in enhancing communication across the departments, orchestrating CTO and Head of Domain activities to ensure the work is aligned and harmonized.

Key responsibilities includes: 

  • Responsible for travel and extensive diary management for both principals
  • To act as the ‘gatekeeper’ for both principals, filtering queries via email, telephone and in-person, managing people’s expectations and delegating work, where appropriate
  • To manage the CTO’s inbox strategically, highlighting key actions and processing work independently, where possible
  • To take ownership: be proactive, anticipate problems and offer solutions
  • To arrange and coordinate meetings and events, liaising with relevant colleagues and clients – collating documentation, greeting and looking after external guests
  • To Minute meetings and ensure actions are understood and followed up by the appropriate individuals
  • To understand the ‘big picture’ and to keep on top of all the work that is being carried out in the department; to seek and implement effective ways of ensuring communication is flowing appropriately
  • To manage the CTO’s SAP account, processing expenses and approving and POs – seeking extra detail, as necessary
  • Administration duties, including proofreading, printing, database management, etc.
  • Any other duties dependent on the needs of the business which may occasionally require the attendance of events off site

About You

  • Previous experience supporting a team is essential
  • Experience as a Team Assistant or Team PA
  • Advanced Outlook, Intermediate PowerPoint, Word and Excel is beneficial
  • Excellent organisation, time management and active listening skills
  • Ability to think “outside the box” to create pragmatic solutions
  • Ability to exercise effective judgement, discretion, sensitivity and creativity to changing needs and situations
  • Ability to work under pressure calmly, think quickly, prioritise, be proactive and confident working unsupervised, using own initiative
  • Willing and able to take responsibility
  • Excellent verbal and written communication skills
  • A collaborative team player with a flexible attitude, able to successfully build relationships at all levels to get the job done effectively and to a high standard
  • Ability to influence key decision makers and to challenge when necessary
  • Demonstrate a commercial approach
  • Experience working within the Professional Services is beneficial
