Project Administrator

Location: Harwell, Oxfordshire

Responsible to: Senior Project Manager

Responsible for: Coordination of the Project Managers Administration and project work.

Working Hours: 37.5 hours per week

Contract: Permanent, 3 month probation and 1 month notice

Holiday: 28 days per annum, plus statutory holidays

About You

  • Create project plans and scoping projects
  • Create key project documentation
  • Support Space Innovation Facilitators
  • Drive quality delivery through to project completion
  • Work directly with a range of clients and stakeholders
  • Create and maintain weekly status reports
  • Track and report on project costs
  • Produce agendas for and support co-ordinated team activities including workshops, project progress meetings and team building events.
  • Manage and co-ordinate activities for the project, as requested, including reporting, managing, risk assessment and budgeting.
  • Design and co-ordinate projects workshops, collating relevant outputs and ideas with the project team in order to shape the project’s progress.
  • Provide administrative support for internal meetings, distributing relevant papers, minute taking and ensuring the tracking and completion of actions.
  • Maintain a comprehensive and confidential document management system for both internal and external groups and meetings for which project support is provided.
  • Schedule meetings between the programme stakeholders to discuss upcoming engagements, milestones, progress updates, monitoring of actions and strategy for the team.
  • Coordinate travel and accommodation requirements both nationally and overseas and ensure arrangements in place for the executive team match requirements and budget.
  • Liaise with relevant individuals, governments and business
  • Any other duties dependent on the needs of the business which may occasionally require attendance at events off site.

Required Skills and Experience:

  • A diligent, accurate and professional individual capable of following due process and procedure to follow actions through to completion
  • Appreciates that projects need to be completed, methodical approach with an ability to work under pressure
  • Attention to detail and ability to multi task and work for different people
  • Able to work without supervision
  • Confident and a good communicator, with strong Microsoft office skills
  • Experience as an Project Coordinator or Junior PM
  • Takes responsibility for own work
  • Well organised and efficient
  • Resilient and able to work in an organisation that is undergoing high level growth
  • Ability to influence key decision makers and to challenge when necessary.
  • Ability to multi-task, work under pressure and use own initiative.
  • Ability to build relationships, coach and influence at all levels.
  • Ability to exercise effective judgment, discretion, sensitivity, creativity to changing needs and situations.
  • Demonstrate a commercial approach.
  • Ability to think “outside the box” to create pragmatic solutions.

Desired experience:

  • Knowledge of the Space and Innovation sector
